Turn service notes into a follow-up list
Ask AI to extract actions from fictional service notes, quote the evidence for each action, and flag missing owners or deadlines. Review the draft before assigning or sending anything.
How to try it
Use a fictional thread
Example: Monday, a customer requests an updated document. Tuesday, a teammate says they will check the request. Wednesday, another note says the requested information is still missing.
Separate the statuses
A request is not a promise, and a promise is not proof of completion. Ask AI to distinguish those states.
Make missing details visible
Ask for “not stated” when the thread does not specify an owner or due date. Do not let a plausible guess become an assignment.
Confirm and assign
Compare each row with the notes. A staff member confirms responsibility and deadlines, then uses the agency’s normal task process.
Copy the starter prompt
Using only these fictional notes, create a draft follow-up table with: action, status, owner, deadline, and exact supporting quote. Separate requested, promised, and completed actions. Use “not stated” for missing information. Flag contradictions or later corrections. Do not send messages, assign tasks, or invent deadlines. Fictional notes: [paste made-up notes here].
